What syncs between Clinic Membership and Documenti

Patients, appointments, tasks, VIP members, and internal notes — plus what stays in each system.

Once Documenti is connected, Clinic Membership pushes operational data to Documenti automatically. Full clinical notes, treatment maps, and signed consents stay in Documenti — reception does not need access to those to run the diary.

Syncs from Clinic Membership → Documenti

    • Patients — name, email, phone, and date of birth when you create or update a record.
    • Appointments — service name, clinician, times, and status (including cancellations and no-shows) for the daily list.
    • Active memberships — patients with a live membership are flagged VIP in Documenti.
    • Internal admin notes on the patient card — for reception–clinician handover, not full clinical notes.
    • Tasks — assign in either system; they appear in both when staff emails match.

    Stays in Documenti only

    • Clinical notes, consultation templates, and treatment maps.
    • Consent forms and signed PDFs.
    • Professional product batches used during injectable treatments.
    • Procedure setup and which consents each procedure requires.

    Stays in Clinic Membership only

    • Bookable services, pricing, deposits, and online booking rules.
    • Membership plans, perks, and subscription billing.
    • Retail products, POS stock, gift vouchers, and invoices.
    • Marketing emails, reminders, and WhatsApp notifications.

    Tip

Changes usually reach Documenti within about a minute after a booking or patient update — not instantly. See How patient matching works if someone is missing from the daily list.
