    Patient Email Templates for UK Aesthetic Clinics

    Plenty of clinic owners put off setting up patient emails because it sounds like a writing project. A confirmation, a reminder, a cancellation, a follow-up after treatment, a request for a review. Each one feels like a blank page, and the clinic diary does not leave much room for blank pages.

    Patient email templates for an aesthetic clinic in the UK

    Every clinic sends the same kinds of email. Patients need to know their appointment is confirmed, when it is, and what happens if plans change. After a visit, they may need care instructions, a nudge to come back, or an invitation to leave a review.

    What differs between clinics is the voice. One clinic is warm and chatty, another is crisp and clinical. A good set of templates gives you the structure and the details, and leaves the tone to you.

    You do not need to write emails from scratch. The templates cover the moments most clinics care about:

    • Aftercare and Custom. Treatment-specific follow-ups when you need them.

    Finding your templates

    All of your patient emails live in one place:

    1. Go to Settings, then Communications.
    2. Scroll to Email templates.
    3. Use the category filters, such as All, Booking, Marketing and Aftercare, to narrow the list.
    4. Click a template to edit it, or use the preview icon to see how it looks.
    5. When you change anything, click Save settings to keep it.

    The filters matter more than they sound. Instead of scrolling past every email the system can send, reception can open the Booking filter and see only the emails patients get around their appointments.

    Making the words sound like your clinic

    You can change any subject or body. A few simple habits keep that quick:

    • Start with the subject line. It is the part patients see first. Make it short and clear, and use the words your patients would recognise.
    • Read it out loud. If it does not sound like something your receptionist would say on the phone, change it.
    • Keep the details in. Placeholders such as the clinic name and the patient's name fill in automatically when each email sends. Leave them in the text unless you mean to remove that detail.
    • Preview before you save. The preview shows how the finished email will look to a patient.
    • Change one email at a time. You do not have to rewrite everything in one sitting. Start with the emails patients get most often, then work through the rest.

    Because every template already works, there is no rush. The clinic can go live with the ready-made wording and tidy up the tone over the following weeks.

    Adding the right location

    If your clinic has more than one site, patients need to know which one to go to. The booking confirmation, appointment reminder and booking updated emails can include the location name, its address, directions, or a ready-made location block with all three.

    These details fill in only when the clinic has two or more locations and the appointment has a site set. Otherwise they stay blank, so single-site clinics do not see empty gaps in their emails.

    Respecting marketing preferences

    Some emails are part of the service, like a booking confirmation. Others are closer to marketing, like a review request or a custom automation. Patients can opt out of marketing messages, and Clinic Membership lets you mark the right emails so that choice is honoured.

    • Review request. In Settings, then Communications, filter by Marketing, open Review request and turn on Class as marketing message.
    • Custom automations. Filter by Custom, edit the automation and tick Class as marketing message. The list then shows a Marketing badge.

    With the switch turned on, anyone who said no to marketing simply does not get that email. It is a simple way to keep the tone respectful without checking each patient by hand.

    How templates fit with reminders and aftercare

    2. Filter by Booking and read the confirmation, reminder and cancellation emails.
    3. Rewrite the subject lines you want to change, keeping them short.
    4. Adjust the body text so it matches how your team speaks.
    5. Preview each email, then save your changes.
    6. Check your marketing emails, and turn on Class as marketing message where it applies.
    7. Work through the other filters over the next few weeks.
