    Card Reader Payments at Reception for Aesthetic Clinics

    A patient finishes her treatment and comes back to the desk. Reception works out the total in the clinic system, then picks up a separate card machine, types the same amount in again and hands it over. Once she has paid, someone has to go back to the system and mark the visit as paid.

    Most days it works. But every total is entered twice, and twice is where mistakes creep in. A digit goes in wrong, a product gets missed off one side, or a payment is taken on the machine and never recorded against the patient. At the end of the day, somebody sits down to make the two sets of numbers agree.

    A card reader that works from the same checkout as your sales removes that second step. Here is how it works in Clinic Membership.

    The problem with a standalone card machine

    A standalone card machine knows nothing about your patients. It only knows an amount. That leaves reception doing the joining up by hand:

    • Totals are keyed in twice. Once in the system, once on the machine.
    • Payments sit apart from the patient record. The machine shows that a card payment went through, but not who it was from or what it was for.
    • End-of-day checks take longer. Someone compares the machine's total with the system's total and hunts for the difference.
    • Busy moments get harder. When two patients are at the desk at once, it is easy to lose track of which payment belongs to whom.

    How a connected card reader changes the desk

    With a card reader linked to your clinic software, the amount comes from the sale itself. Reception rings up the treatment and any products, creates the invoice, and sends the payment to the reader. The patient taps or inserts her card, and the payment is recorded against that invoice.

    Nothing is typed twice. The total the patient sees on the reader is the total on her invoice, and the paid invoice sits with everything else in the system.

    Ordering your card reader

    In Clinic Membership, you order the reader from inside your settings rather than from a separate supplier:

    1. Go to Settings, then Payments.
    2. Scroll to Payment terminal.
    3. Click Order terminal, choose a reader from the options shown, and complete the order.
    4. Track its progress on the same screen as it moves from Ordered to Shipped to Delivered.

    Because the order lives in your settings, you can see where it is without chasing emails.

    Registering the reader when it arrives

    When the reader arrives, you pair it with your clinic account:

    1. Switch the reader on and find the pairing code it shows.
    2. Enter that code under Payment terminal in Settings, then Payments.
    3. Click to register the reader.

    Once it is registered, the reader is ready to use at the till. The order and use a card reader guide shows each screen.

    Taking a payment at the desk

    Card payments start in Sales, the point of sale screen reception already uses:

    1. Open Sales from the top navigation.
    2. Search for the patient and start a sale.
    3. Add the treatments, products or custom lines for the visit.
    4. Click to create the invoice.
    5. Choose Card terminal and follow the prompts on the reader.

    Two small habits keep things smooth. Wake the reader before you start a card payment, so it is ready when the prompt arrives. And if the patient or reception cancels the payment on the reader, simply start again from Sales.

    When the patient pays another way

    Not every patient will tap a card at the desk, and the same checkout covers the other ways people pay. After creating the invoice, reception can choose:

    • Card terminal, for the card reader at the desk.
    • A saved card, when the patient already has a card saved on her record.
    • Payment taken elsewhere, to record a payment taken outside the system.
    • Cash, to record cash at the till.
    • Email payment link, when the patient needs to pay later.

    If a patient wants to split a payment, for example across two cards or between card and cash, enter the first amount, take that payment, then take the updated balance due for the rest. The take payment at reception guide walks through the full flow.

    What reception gains

    The change is small at the desk and noticeable by the end of the week:

    • One total, entered once. The amount on the reader comes from the invoice.
    • Payments that belong to someone. Every card payment sits against a patient and an invoice.
    • A calmer checkout. Reception follows one flow for every patient, whatever they buy.
    • Fewer end-of-day surprises. There is no second machine to reconcile against the system.

    It also helps the patient. She sees the right amount, pays quickly and leaves without waiting while reception double-checks figures.

    Joining up the rest of the visit

    A simple plan for switching

    You can move from a standalone machine to a connected reader without disrupting the desk:

    1. Order the reader from Settings, then Payments, then Payment terminal.
    2. Track the delivery on the same screen.
    3. Register the reader with its pairing code when it arrives.
    4. Run a test sale in Sales so reception sees the prompts before a real patient is waiting.
    5. Show the team the habits. Wake the reader first, and start again from Sales if a payment is cancelled.
    6. Retire the old machine once reception is comfortable with the new flow.
