The Easiest Way to Get Started with Clinic Memberships in UK Aesthetics

    24 September 2026

If you run a UK aesthetics clinic and you have never offered a membership, the question is usually not "do patients like plans". It is "how do I get started without turning the next fortnight into a project". The easiest way is a short checklist: lock a simple plan shape, set a clear sign-up path with the agreement on the patient file, and take the first recurring card payment. Everything else can wait until those three are live.

This is a buyer guide for owners who want clinic membership software that ships those steps in one place, not a six-month change programme.

What "started" should mean by Friday

Started does not mean every patient on a plan. Started means you can do three concrete things without a spreadsheet chase:

    1. A patient can see which services sit in the plan, and which stay ad hoc.
    2. They can sign up online or in the clinic with you, agree the terms, and have that agreement filed on their patient file.
    3. Their card can take the initial payment and the recurring card renewals on the billing day you set, without a monthly chase.

If those three work for a small pilot group, you are live. If you wait for a perfect menu of ten tiers, you are not.

Free on Clinic Membership covers up to 10 patient records, which is enough to run that pilot. Amounts for paid tiers live on pricing, not in this article.

Write the plan shape before you take the first sign-up

Start with two or three plans, not a wall of options. Each plan needs lines a patient can understand in thirty seconds:

    • Which services or treatments sit in the plan.
    • Perks for members who take more than one service (a clear reason to join, not a vague "VIP" label).
    • Which occasional services stay ad hoc outside the plan.
    • That patients can add further treatments and pay for them there and then.
    • That once the membership is in place it stays fixed. Changing a live plan mid-flight gets messy for you and for them.

Owners who want a fuller template can open What to put in a clinic membership plan. This post stays on the first-week path: ship a short menu you can explain in the clinic without a script.

Keep inclusions honest. If a visit is not in the plan, say so and take payment there and then when they add it. Patients forgive a tight plan. They do not forgive a surprise invoice after they thought they were covered.

Clear agreement, on the patient file

The sign-up path is where first-week projects stall. Pick routes that use the same wording:

    • Online: a link that opens the plan, shows the terms, and takes the card.
    • In the clinic with you: the same plan screen, so you are not inventing terms from memory.

The agreement must be clear. The patient signs and agrees. That agreement is filed on their patient file. What is included, and their membership status, is tracked on that same patient file, not spread across platforms where things get lost, not attributed, or not reconciled to the membership they paid for.

Billing should be seamless: the initial payment and the recurring card payments are taken without a manual chase every month. Clinic Membership collects recurring card payments on the patient and plan record. Do not promise Direct Debit or BACS in your patient materials.

Commercial membership agreements are not clinical consent forms. Clinic Membership handles the membership agreement side. Documenti is the EMR for clinical notes and consent forms, and it should sit in that clinical lane. Do not mix the two into one PDF.

For agreement wording and cooling-off detail, see Digital agreements and a 14-day cooling-off period and the membership agreement template for aesthetics clinics. Read those when you write the terms. Do not paste scare language into the first message.

Terms that belong before the first sign-up, not "later":

    • Billing day and how the card renews.
    • What is included versus pay-as-you-go.
    • How to add further treatments and pay there and then.
    • Notice to cancel.
    • That the live plan stays fixed once agreed.

Write them once. Use the same words online and in the clinic.

Take the first recurring card payment

Memberships that rely on someone remembering to chase a bank transfer each month are not memberships. They are a monthly admin job.

The first-week goal is simpler: one successful initial card payment and one clean recurring card path for a real pilot member, on the billing day you named. Owners who still run payments in a separate tool can read Why UK aesthetic clinics still run payments in a separate tool.

Invite a few of your best patients to use as a pilot

The easiest first members are people who already asked about memberships. Invite a few of your best patients to use as a pilot: people who have already expressed interest.

    • Regulars who book the same treatment on a rhythm.
    • Patients who asked about a package or plan and never finished the paperwork.
    • People who already pay you often enough that a plan is a cleaner version of what they do.

Send one clear message: what is included, what stays ad hoc, that extras are payable there and then, that the plan stays fixed once live, and the sign-up link (or that they can complete it with you in the clinic). Do not stack three follow-ups in the same day.

Once the pilot cards renew cleanly, open the plan more widely. You do not need a launch party. You need a working path.

For a longer step path that sits next to this checklist, see How to set up a membership plan for an aesthetics clinic.

What to leave out of week one

Owners often delay start by loading week one with optional work. Leave these for week two or later:

    • A full marketing campaign before a single card has renewed.
    • Ten plan variants for every treatment on the menu.
    • Custom reports you will not open this month.
    • Rewriting the whole website around memberships before sign-up works.
    • Changing plan inclusions after patients have already joined.

Software setup time and cost structure live in clinic software setup time and related setup posts. This article stays on membership readiness: plan shape, sign-up on the patient file, and the first card payment.

Also leave clinical records where they belong. Clinic Membership is not an EMR. Documenti is the EMR for clinical notes and consent forms. Keep membership billing and clinical notes in their own lanes from day one so you do not invent a messy hybrid later.

    A one-page first-week scoreboard

Print this or keep it on your phone. Tick only when true for a live pilot:

    1. Two or three plans published with inclusions, member perks, and clear ad hoc extras.
    2. Sign-up works online and in the clinic with you, with the same wording.
    3. The agreement is filed on the patient file, with membership status tracked there.
    4. At least one initial recurring card path has succeeded on the billing day.
    5. Pilot list invited from patients who already showed interest.
    6. Site link live when renewals look clean.

If four of those six are true by Friday, you started. If none are true, you did not.

Easy mode: let Clinic Membership carry the admin

Waiting for perfect usually means the diary stays pay-as-you-go while you debate tier names. The first-week path forces the product decisions that matter: what you include, how patients sign and pay, and how treatments stay attributed to the membership they bought. Those decisions are the membership.

Clinic Membership is clinic management software for UK aesthetics clinics. It manages patients, bookings, calendars and appointments, with smart features that cut admin, including memberships. You can propose a membership to a patient in under 60 seconds. The patient goes through full onboarding: read, agree, pay. Payments are managed; membership treatments sit on their patient card; when they book, the system knows and attributes the visit to what they paid for. You get the benefit of memberships without the admin.

Free covers up to 10 patient records, with no card required to start. Amounts after that live on pricing. Owners who want feature depth can open features. This piece is the start path: get the plan live, file the agreement on the patient file, and take the first card payment.
